Studio Policies, Terms, and Conditions
Thank you for choosing The SoundLab Recording Studios! We are committed to providing a high-quality, professional, and creative space for all of our clients! To ensure smooth operations so you have the best experience, we ask that you carefully review and adhere to the following policies, terms, and conditions.

To secure your booking, a 50% deposit is required in advance. This deposit guarantees the time slot you have requested and confirms the reservation of studio resources for your session. The deposit is non-refundable if the session is canceled within 48 hours of the scheduled time. Without this deposit, the requested time slot is not officially reserved, and The SoundLab reserves the right to offer the slot to other clients.

Sessions are charged according to the studio’s published rates, which are subject to change. These rates are based on the type of session and the services provided. If specific rates have been pre-negotiated, those rates will be honored.
Minimum Session Time: All sessions require a 2-hour minimum if an engineer is requested. Room rentals require a 4-hour minimum booking.
Extended Session Time: Sessions extending beyond the scheduled time will be billed at the published hourly rate, provided that the studio is available. If the session runs over the allotted time and another booking is scheduled immediately after, additional time may not be accommodated.

We understand that plans can change. However, to ensure the best service and availability, we require that any cancellations be made with at least 48 hours notice. Cancellations within this timeframe forfeit the deposit. Cancellations made earlier than 48 hours will result in the deposit being fully refunded or credited to a future booking.

We highly recommend that new clients schedule a tour of the studio prior to their first session. This provides an opportunity to familiarize yourself with the space, meet the team, and discuss specific session needs. During the tour, we can review technical requirements, equipment availability, and session expectations, ensuring everything runs smoothly and efficiently during your booked time.

Scheduled Time: The session will begin at the confirmed scheduled time. If you arrive early, the session may start sooner if the studio can accommodate it, and the session clock will begin at that time.
Late Arrivals: If you are late for any reason, the session will still be billed from the scheduled start time. No exceptions will be made. It is highly recommended that you contact us if you anticipate being late.
Setup Time: The time needed for setup (including load-in, instrument tuning, microphone placement, etc.) is included in the session time unless prior arrangements are made. All setup activities are charged at the standard session rate.

In the event of downtime caused by studio equipment malfunction or technical issues, this time will not be billed to the client. However, if downtime occurs due to actions or requests from the client (e.g., extended setup, changes to technical specifications, or delays caused by the client), the client will be billed at the standard hourly rate for that time.

Full payment is required upon the completion of each session. No media (audio, video, or other session materials) will be released until payment is made in full. Clients are required to pay for the full time reserved, even if the session ends early.
Late Payment Fees: If payment is not received by the end of the session, a $15.00 service fee will be added to the total bill.
Non-payment: If an account remains unpaid for an extended period, legal action or collection processes will be initiated, and you will be responsible for any additional fees, including attorney and collection costs.
Media Release: Session media will only be released once full payment is received. After media is transferred, The SoundLab is not responsible for maintaining a backup unless explicitly arranged in writing. Clients are strongly encouraged to back up their session files immediately after receipt.
Unpaid Session Materials: Any session materials left beyond 30 days due to nonpayment will become the property of The SoundLab Recording Studios. The studio is not liable for any lost or unrecoverable data once materials have been left in the studio beyond this time.

To ensure a productive and professional environment, all clients and their guests must adhere to the following studio rules:
Food and Drink: While food and beverages are allowed in designated areas, they should not be brought into sensitive areas, such as near the equipment racks or the recording console. All waste must be disposed of properly.
Prohibited Items:
Firearms are strictly prohibited on the premises.
Illegal drugs are also prohibited. The SoundLab reserves the right to refuse service or terminate a session if illegal substances are found or if a client is acting in a manner that poses a risk to the business or community.
Guest Policy: Only individuals essential to the session should be present in the studio. We encourage limiting the number of guests to ensure a focused and productive environment.

Clients will be held financially responsible for any damage to The SoundLab’s equipment, property, or facilities caused by negligence, accidents, or intentional actions. In such cases, the client will be required to provide compensation equal to the full replacement value of the damaged items. Any damage to studio property or equipment will be assessed, and the cost will be charged to the client's account.

The person booking and paying for the session is fully responsible for the conduct of all artists, guests, and individuals accompanying them during the session. By signing this agreement, the client agrees to uphold all studio policies and will be held accountable for the behavior of all parties involved. There are no exceptions to these rules. This ensures a positive and professional experience for all clients, artists, and the studio.

The SoundLab Recording Studios is not responsible for any lost, damaged, or stolen gear left in the studio. If you leave any equipment, personal items, or other materials behind, it is your responsibility to retrieve them promptly. Any property left in the studio for more than 30 days without prior arrangement will be considered abandoned and may become the property of The SoundLab.
